Exhibition Entry Information

General Information
The exhibition will be held online on the Society's website:

Submissions of work are invited from visual artists working in water-based media. Artists must be over the age of 18, and live in, or be associated with, the counties of Cambridgeshire, Norfolk, Suffolk, Essex and Bedfordshire.

All work must be original - no prints will be accepted. All submitted paintings must be in watercolour or a water-soluble medium for at least 80% of the painting.  Works must be on an acid-free paper support. Water-based media include acrylics but this must not be used in impasto form. Water-soluble oils may not be used. 


Work must have been painted in the last 3 years and not been exhibited before within East Anglia. Artwork exhibited at artists own Open Studios is allowed. Submissions must be the original work of the artist named on the submission form. Work must be for sale and copyright vested in the named artist. 

If a submitting non-members wishes to apply for Associate membership should submit the full quota of 4 paintings. If at least 2 paintings are selected, the artist will be asked for a further digital portfolio for consideration by the committee for membership eligibility. The committee may, at their discretion, invite artists who have submitted fewer paintings and had some selected for the exhibition, to submit a portfolio of work to the committee for membership consideration.  Details of requirements will be given at the time.


Paintings must be photographed well and not through glass. Separate guidance will be available on how to provide the best image of your painting. Photographs must be of the painting only with no mount, frame or white paper edges showing. The Committee reserves the right to refuse poorly photographed artwork and to reject any works considered to be of unsuitable content.

Please include a description/motivation of/for your artwork to make it attractive to potential buyers.

Image Uploads
Image files should be JPG or PNG and no more than 5MB large. Upload time will depend on your internet connection speed so please be patient. If you are having problems uploading your images please use image editing software to resize your image to approximately 1600 pixels wide and then save as a new file. Image file names should not be too long and should not contain any invalid characters such as ' " & % * ( ) < > / \ ~ # + =

Size of physical works
The size of works to be provided is the exterior paper size without mount. There is no minimum or maximum size but the artist needs to be aware that if their artwork is sold it may need to be posted.

Work selected for exhibition will be expected to be for sale. The minimum sale price for selected works is £150. The maximum sale price for selected works is £600. Commission of 35% is charged by the Society. It will be assumed that the sale price includes the cost our commission. The sale price should NOT include the cost of mounting and framing. Please allow for these points when pricing your work. If your work is sold at the exhibition you have a responsibility to account for UK taxes with H.M. Revenue & Customs where applicable. You will also be responsible for liaising with the buyer regarding possible mounting and framing, method of delivery and payment thereof.

All communication will be by email. To ensure the highest quality of the overall exhibition, the judges will complete two rounds of online selection, however, artists will only be advised of the final selection as there is no framing or delivery required. Applicants will be able to login after the final selection notification date to find out if they have been selected for the exhibition.

The judges will select the works for the exhibition. The judges will consider all correctly completed submissions. The decision of the judges on all matters is final and no correspondence will be entered into.

Insurance, Delivery and Buyer information
Artists are responsible for insuring their own work for delivery. Organisers will not accept liability for loss or damage occurring during delivery.

Artists are responsible for delivery of their artwork. When a painting is sold, the artist will be sent the buyer's contact details in order to facilitate delivery of the artwork. (see our guide to delivery). The artist agrees to make contact with the buyer within 48 hours of the notification of sale (by email).

By submitting to the exhibition you are deemed to accept and agree to the following:

  • The decision of the Judges on all matters is final and no correspondence will be entered into.
  • I understand that The Organisers reserve the right to make such changes to the exhibition arrangements and these Terms & Conditions as may be deemed necessary by circumstances.
  • I authorise The Organisers to process, store, and utilise the data in my submission and agree that, if selected for exhibition, images of my work can be freely used by The Organisers, and associated organisations for promotional and publicity purposes.
  • All information provided by me is true and accurate and that the work submitted is wholly of my own creation.
  • I have read and understood the full terms and conditions and by submitting this application I accept and agree to observe all the Terms & Conditions herein.
