Exhibition Entry Information

General Information
The exhibition will be held at Babylon Gallery, Waterside, Ely CB7 4AU Cambridgeshire from Thursday 2 September – Sunday 26 September 2021.

Submissions of works are invited from visual artists working in water-based media. Artists must be over the age of 18, and live in, or be associated with, the counties of Cambridgeshire, Norfolk, Suffolk, Essex and Bedfordshire. All work must be original - no prints will be accepted.

All submitted paintings must be in watercolour or a water-soluble medium for at least 80% of the painting.  Water-based media include acrylic but this must not be used in impasto form. Water-soluble oils may not be used.

Works must be on acid-free paper only.

Submitted work must have been painted in the last 3 years and not been physically exhibited before within 20 miles of the venue. Work must also not have been exhibited in any regional online exhibition other than the SEAW’s own virtual Selected exhibition held from 23 October - 6 December 2020. Work can be submitted if it appeared in an online exhibition for a national, and often London-based, watercolour society (e.g. RI, RWS, SWA), the artist’s own open studios or sole show and on the artist’s website. If in doubt please check with our Chair Mel Collins.

Work must not exceed 80cm in height or width (external frame dimension).

Submissions must be the original work of the artist named on the submission form.

Work must be for sale and copyright vested in the named artist.

Work must be securely framed and glazed with D-rings and strong framing cord securely attached to the frame. Please do not use household or garden string. Works in metal frames or clip frames will not be accepted. Only cream, off-white or white mounts will be allowed although a ¼ inch coloured edge to separate painting from mount will be acceptable. In the case of float mounting only cream, off-white or white backing mounts must be used. All frames must be sealed with framing tape, not masking tape or Sellotape.

All submitted works must bear a securely attached adhesive label on the reverse side of the work, stating name of artist, title, medium and price.

In addition, a luggage label with the same information must be attached to one of the D-rings with cord long enough to enable the label to be hung and read over the top of the painting.

View our guide to presentation of paintings here.

Photographing your work to submit for selection

Paintings must be photographed well and not through glass. Photographs must be of the painting only with no mount, frame or white paper edges showing. The Committee reserves the right to refuse poorly photographed artwork and to reject any works considered to be of unsuitable content. Please review our guide to photographing works for submission here.

Please include a description outlining the motivation for your artwork to help the selectors. Adding a description to each artwork made a significant difference in the recent online selected exhibition.

Image Uploads
Image files should be JPG or PNG and no more than 5MB large. Upload time will depend on your internet connection speed so please be patient. If you are having problems uploading your images please use image editing software to resize your image to approximately 1600 pixels wide and then save as a new file. Image file names should not be too long and should not contain any invalid characters such as ' " & % * ( ) < > / \ ~ # + =

For the physical exhibition, work selected for exhibition will be expected to be for sale. The minimum sale price for selected works is £150 and a maximum price of £650. Commission of 35% is charged by the Society. It will be assumed that the sale price at the physical exhibition includes the cost of any frame and our commission. Please allow for these points when pricing your work. If your work is sold at the exhibition you have a responsibility to account for UK taxes with H.M. Revenue & Customs where applicable.

All communication will be by email. Applicants will be able to login after the Selection Notification date to find out if they have been selected.

The Committee of the SEAW will select the works for the exhibition. The Committee will consider all correctly completed submissions. The decision of the Committee on all matters is final and no correspondence will be entered into.

Artists are responsible for insuring their own work. All works accepted for the exhibition will be displayed entirely at the artist's risk.  Organisers and the gallery will not accept liability for loss or damage occurring during the exhibition.

Delivery and Collection
Artists are responsible for the delivery and collection of their work at the Gallery. All artwork must be unpacked and the packaging materials removed by the person bringing the artwork. Please make use of padded artwork bags such as ‘stiffy’ bags (not bubblewrap and tape) to protect artwork during transportation. This cuts down on the time it takes to make the delivery and the time it will take to remove unsold works. No gallery storage is available for packaging. It is also the artist's responsibility to package their artwork for removal at the end of the exhibition.

Work not collected at the stated times will be subject to a daily charge of £10 and will be disposed of after one week, unless there are exceptional circumstances preventing collection.

Unsold paintings must be collected between 4pm – 6pm on Sunday 26th September, 2021. Works cannot be removed before these times unless your work is sold and taken by the buyer. If another person is collecting for you, please make sure to remind them and let them know how many paintings you need collecting.

We are optimistic that COVID restrictions will be relaxed in time for our Exhibition in September. However we have to be prepared and at this point in time all artists bringing or collecting work for the physical exhibition and all those stewarding should wear-face masks throughout the Babylon building, including the Gallery, and should hand sanitise regularly. The number of visitors to the Gallery may have to be restricted and visitor entry may be staggered to enable social distancing rules to be followed.

By submitting to the Exhibition you are deemed to accept and agree to the following:

  • The decision of the Selectors on all matters is final and no correspondence will be entered into.
  • I understand that the Organisers reserve the right to make such changes to the Exhibition arrangements and these Terms & Conditions as may be deemed necessary by circumstances.
  • I authorise the Organisers to process, store, and utilise the data in my submission and agree that, if selected for Exhibition, images of my work can be freely used by the Organisers, the Gallery and associated organisations for promotional and publicity purposes.
  • All information provided by me is true and accurate and that the work submitted is wholly of my own creation.
  • I have read and understood the full terms and conditions and by submitting this application I accept and agree to observe all the Terms and Conditions therein.
